6. Pickup Schedules

The pickup time will be specified in the program. Tourists must be ready and waiting in the hotel lobby. If they are not ready at the scheduled time, the agency will not be responsible for any delays and/or abandonment by the transportation, as this is a fixed schedule. If a tourist is found to be in a high state of intoxication, the tour will be canceled without the right to a refund or rescheduling.

7. Hotels

The company reserves the right to substitute hotels of the same category in the tour packages it offers. This is because KB ADVENTURES S.A.C is subject to hotel availability in Peru, in accordance with Article 1277 of the current Peruvian Civil Code.

For early check-in and late check-out, an additional charge will apply according to hotel policies.

8. Inca Trail, Huayna Picchu Mountain, and/or Machu Picchu Mountain

These services are considered part of the adventure tourism category and are subject to government restrictions due to maintenance, protection, and conservation efforts. Therefore, reservations must be made well in advance, and availability must be checked beforehand. These services are in high demand and have a limited number of available spots.

11. Cancellations, Refunds & Reimbursements

If a cancellation request is received:

  • 1. If the client cancels the confirmed service more than 60 days before departure, 50% of the total amount will be retained (excluding bank fees) along with the costs of reserved train tickets and entrance tickets (Machu Picchu ticket, Inca Trail ticket, Machu Picchu Mountain ticket, and/or Huayna Picchu ticket).
  • 2. If the client cancels the confirmed tour between 60 and 31 days before departure, 70% of the total amount will be retained (excluding bank charges) along with the costs of reserved train tickets and entrance tickets (Machu Picchu ticket, Inca Trail ticket, Salkantay Trek ticket, Machu Picchu Mountain ticket, and/or Huayna Picchu ticket).
  • 3. If the client cancels the confirmed tour within a week or less, 100% of the total amount will be retained.

Once the entrance tickets for Machu Picchu, Inca Trail, Salkantay Trek, Machu Picchu Mountain, and/or Huayna Picchu have been purchased, there is no option to modify any date and/or name, nor to refund any payment made by the client. All tickets include VAT, and the tour operator charges a booking fee.

If the client leaves the tour early, even if they do not use additional nights of accommodation for any reason, whether voluntary or involuntary, no money will be refunded.

Cancellation of the 4-Day and 2-Day Inca Trail

  • If the client cancels the confirmed 4-Day or 2-Day Inca Trail service 60 days or more before departure, 70% of the total amount will be retained, including the costs of reserved train tickets and entrance tickets (Inca Trail ticket with entry to Machu Picchu, Machu Picchu Mountain and/or Huayna Picchu).
  • If the client cancels the confirmed 4-Day or 2-Day Inca Trail service 30 days or less before departure, 100% of the total amount will be retained.

Please note that once the Inca Trail reservation is made, no changes can be made (the reservation is non-transferable in terms of dates or the name of the holder), as it is controlled by the DRC (Decentralized Directorate of Culture Cusco), and by law, no modifications are allowed after the reservation has been received. Cancellations and/or waitlists are not allowed for the Inca Trail.

Cancellation of Trip Participants

If one or more participants in the same travel group cancel the reserved private service, the purchase price will be recalculated based on the new number of passengers. The client has the option to accept or reject the newly calculated price. In the latter case, the client’s cancellation conditions will apply.

Client’s Responsibility

If, for any reason, the transportation chosen by the client (bus, airplane, train, etc.) does not arrive at its destination before or at the scheduled date and time for the start of the services, the company will not be responsible for the resulting damages or missed services. These unused services are the responsibility of our clients. We recommend arriving in the departure city at least 2 days before the service starts so the client can acclimate to the weather conditions and reduce the risk of missing a service due to a flight cancellation. Any services missed as a result of these delays are non-refundable.
